2016 FISCAL YEAR-END CLOSEOUT BEGINS MAY 13

State fund budgets will be collapsed effective Friday, May 13. All state fund requisitions must be in AGGIE-MART no later than close of business May 13, at which time the requisitioning process will be disabled for state funds.

Procurement card purchases should not be made on state funds after May 13.

Emergency requisitions for state funds are to be entered into AGGIE-MART, but will be reviewed and approved by the Office of Budget and Planning before purchase order processing. If approved, the good/service must be delivered and an invoice received in Accounts Payable before Wednesday, June 15. If not approved, the requisition will be returned.

Budget accounts exempt from collapse are travel (73100), communications (73200) and maintenance (74400). Overhead receipts, contracts and grants, and campus enterprises fund budgets also are not affected.

All purchase orders, except capital improvement and contracts and grants for the 2015-16 fiscal year, will be closed or deleted after Monday, June 20. It is important to follow up with vendors to ensure all merchandise will be received before June 20. If goods/services on 2015-16 purchase orders are not received and paid by Wednesday, June 29, a new purchase order must be created in AGGIE-MART on Friday, July 1.

Unused purchase orders on state funds, overhead and campus enterprises from 2015-16 will not carry over into the 2016-17 fiscal year. Capital improvement and contract and grants purchase orders will carry over into the new 2016-17 fiscal year.

Banner Finance receiving (FPARCVD) will be disabled and unavailable to campus users at noon on June 29.

The deadline to submit check requests and invoices (on purchase orders) and have them entered into the system is Friday, June 24, and the final check cycle for 2015-16 is June 29.

Travel reimbursements must be submitted no more than 30 days after a trip or may result in a taxable transaction. All advances for which travel has been completed must be reconciled and submitted by June 30; otherwise, it may negatively impact the next request for an advance.

Purchases on P-cards should be made no later than Wednesday, May 18, for the charges to appear on this year’s budget. Purchases after this date will be charged in the 2017 fiscal year.

Lastly, the last day to make deposits in the Treasurer’s Office for the current fiscal year is June 30.

All petty cash reimbursements to be processed in the current fiscal year must be brought to the Treasurer’s Office by Friday, June 10. Due to fiscal year-end closeout, no petty cash reimbursements will be processed from June 10–30. The Treasurer’s Office will resume processing petty cash reimbursements beginning Friday, July 1.

  

COLLEGE OF ENGINEERING TO HOST STATE SCIENCE FESTIVAL EVENT

The College of Engineering will host a Maker Faire for students 12–18 years of age, 10 a.m.–3 p.m. on Wednesday, April 20, at the Alumni-Foundation Event Center.

Middle and high school students and staff will be engaged in hands-on activities and project-based learning in key science and engineering areas designed to educate them about the integration of engineering and science. Attendees will be exposed to 3-D printers, robots, solar energy applications, ground water research and more.

The expo-style event will be facilitated by North Carolina A&T State University engineering researchers and professionals, and will offer students and teachers different sessions to experience the synthesis and range of science and engineering.

The Maker Faire is a part of the North Carolina Science Festival, which aims to offer a high quality science experience within a 30-minute drive of every North Carolinian during the two-week festival that concludes Sunday, April 24. The festival highlights the educational, cultural and financial impact of science in North Carolina and encourages children to pursue science-related careers and businesses to invest in the state.

The 2016 Science Festival is presented by the Biogen Foundation and produced by the Morehead Planetarium and Science Center at the University of North Carolina at Chapel Hill.
